Soft Ways to Cancel or Reschedule a Meeting in Korean

Soft Ways to Cancel or Reschedule a Meeting in Korean

It’s late morning, and something urgent has just landed right on top of your 2 p.m. meeting. Your first instinct is to write a long, apologetic paragraph in Korean explaining everything.

You don’t need the essay. What helps the other person most is an early message, a short reason, and a concrete alternative — so they’re not left holding a vague “sometime later.”

Today we’ll go through three soft moves — reschedule, postpone, or shorten — and the Korean line for each.

Reschedule, postpone, or shorten?

They sound similar in English, but they land quite differently.

Rescheduling is usually the kindest option. You’re not dropping the meeting, you’re moving it. 죄송한데 일정이 겹쳐서, OO일 OO시로 조정 가능할까요? does most of the work on its own. 일정이 겹쳐서 (“my schedule overlaps”) is a short, honest reason nobody will ask you to explain. Offer two slots instead of one, so the other person can simply pick.

Postponing is for when today really won’t work and you don’t have a new time yet. The 어려울 것 같아 part (“it looks difficult”) is far gentler than a flat “I can’t.” Just follow up with times soon, so it doesn’t quietly turn into a cancel.

Shortening is the one people forget. If the meeting can still happen but your day is squeezed, 30분만 짧게 진행해도 괜찮을까요? often saves everyone’s afternoon better than a full cancel.

Two more things shape how it lands. Timing: message as soon as you know, not five minutes before — and a same-morning change needs a clearer reason plus a new slot. Ownership: if you booked the meeting, the reschedule is yours to fix. If they booked it, still propose times instead of going quiet.

Lines you can send

— Sorry, I have a schedule conflict. Could we move it to [day] at [time]?
— Would [time] or [time] on [day] work for you? (the two-slot offer)
— Today looks difficult, so I’d like to set it up again another time.
— Would it be okay to keep it short, just 30 minutes?

Try it at work today

Look at your calendar for this week and pick one meeting that might slip. Draft the reschedule message now, with two real time slots filled in, and keep it ready.

If you end up needing it, you’ll send it early and calmly — no panic paragraph required.

A short, early, concrete message reads as reliable, not flaky. That’s the part people remember.
